- Registration Cancellations & Refunds
All cancellation requests must be submitted in writing via email to info@asiagis2026.org. The date your email is received determines your refund eligibility (in Hong Kong time):- On or before Sep 15, 2026: 80% refund of the registration fee.
- Between Sep 15 and Sep 30, 2026: 50% refund of the registration fee.
- After Sept 30, 2026: No refunds will be issued.
- No Rollovers: Registration fees cannot be credited or rolled over to any future years or events.
- No-Shows: No refunds or credits will be provided for failure to attend.
- Hotel Room Blocks & Travel
- Separate Policy: Registration cancellations do not automatically cancel your hotel room.
- Lodging Liability: Attendees must cancel hotel reservations directly with the venue according to the hotel’s specific policy.
- Travel Costs: The conference organizers are not liable for any non-refundable travel, flight, or lodging expenses.
- Program Changes & Force Majeure
- Program Alterations: Organizers reserve the right to substitute speakers or modify topics. Speaker cancellations or session changes do not qualify attendees for a refund.
- Full Event Cancellation: If the entire conference is canceled prior to starting due to circumstances beyond our control (e.g., natural disasters, strikes, government orders), a 50% refund of the ticket price will be issued. No future event credits or rollovers will be offered.
- Severe Weather & Partial Cancellation: The conference will follow local government safety warnings. Please note that if severe weather occurs during the event week, including but not limited to Typhoon Signals (No. 8 or above) or Black Rainstorm Warnings. The conference may be partially canceled or shortened for safety reasons. In the event of such a partial cancellation, no refunds or prorated credits will be issued.
- Refund Processing
Approved refunds will be credited to the original payment method within 14 business days after the conference concludes.
